Summary
This organization is seeking a highly capable Administrative Assistant – Executive Support to provide direct, one-to-one support to a senior retail executive. This is a newly created role designed to enhance focus, efficiency, and decision-making at the executive level by providing proactive, detail-oriented, and adaptable support. The successful candidate will act as a trusted partner—anticipating needs, flagging risks, and supporting a wide range of priorities as they shift day-to-day. While the role includes traditional administrative responsibilities, it is best suited to someone who enjoys operating beyond task execution and takes pride in enabling others to perform at their best. This is not a field-facing role, an escalation point for operations, nor a traditional errand-based assistant position. It is a behind-the-scenes support role focused on organization, insight, and execution.
Description
Executive & Administrative Support

Provide dedicated daily support to a senior executive, helping to structure priorities and prepare for the day ahead.

Manage calendars, meeting coordination, and logistics across internal and external stakeholders.

Prepare meeting materials, briefing notes, summaries, and follow-ups to ensure productive outcomes.

Serve as a backup resource for travel coordination and expense reporting, stepping in when issues arise (e.g., flight disruptions, last-minute changes).

Support executive expense reporting and documentation, with final approvals remaining with the executive.
Retail Analysis & Reporting Support

Assist with ad hoc analysis and reporting related to retail operations, including:

Labour modeling and wage cost projections

Store performance comparisons

Sales and productivity summaries

Quick-turn reports for internal and U.S.-based district leadership

Pull data from existing systems and present information clearly and concisely for executive use.

Maintain accuracy and confidentiality when handling sensitive business information.
Proactive Support & Problem-Solving

Anticipate needs and identify gaps or risks the executive may not see due to workload.

Make calls, gather information, obtain quotes, and coordinate next steps as priorities shift.

Handle practical, efficiency-driven personal support tasks that remove friction from the executive’s workload (e.g., scheduling essential appointments, coordinating car maintenance or repairs).

Build trust over time to enable increasingly proactive decision-making and support.
Requirements

Previous experience in an administrative, coordinator, or executive-support role working closely with senior leaders.

Exposure to retail or multi-unit environments is strongly preferred, particularly comfort with numbers, reporting, and operational metrics.

Strong analytical ability with Excel or similar tools; able to pull together quick, clear reports.

Highly organized, detail-oriented, and able to manage competing priorities with confidence.
